Computer Is Overheating or the Fan Runs Constantly

Hardware

Dust buildup, blocked vents, or a demanding task running in the background are the most common causes. Over time, dust is the biggest culprit, computers pull in air constantly and the dust has to go somewhere.

  • Make sure the computer sits on a hard, flat surface, not a bed or a cushion, so vents are not blocked.
  • Check Task Manager or Activity Monitor for a program using unusually high CPU.
  • If it has been a year or more since it was cleaned, dust is a likely factor.

A good internal cleaning is quick and often solves this on its own.

Email Not Sending or Receiving

Software

Usually a sign-in or password issue, a full inbox, or a setting that changed on one device. Less often, it is a problem with the email provider itself.

  • Check your internet connection first.
  • Confirm you are not out of storage space on the account.
  • Check the email provider's status page to rule out an outage on their end.

If it is affecting your business email specifically, or several people at once, let us take a look before it costs you time.

Printer Won't Print

Hardware

Printers fail for a lot of small reasons: a dropped connection, an outdated driver, low ink, or a paused print queue. It is rarely the printer itself.

  • Check for paper jams and confirm there is ink or toner.
  • Restart both the printer and the computer.
  • Check the print queue on your computer for a stuck job and clear it.

If it printed fine yesterday and nothing changed, but it still will not go, that is a quick one for us to sort out.

Battery Draining Fast or Won't Charge

Hardware

Batteries wear out over time, that is normal. A sudden change, though, usually points to a specific app draining power, a charging cable or port issue, or a battery that has reached the end of its useful life.

  • Try a different cable and outlet to rule those out.
  • Check battery health settings, both Windows and Mac show this, to see its current capacity.
  • Look at what is using the most battery in your settings, one runaway app is a common cause.

If the battery will not hold a charge at all, or health has dropped significantly, it is usually a straightforward swap.

“Your Computer May Be Infected” Warning

Security

Real security software rarely announces itself this dramatically. Most of these warnings, especially ones with a countdown timer or a phone number to call, are scams designed to scare you into paying for fake support.

  • Do not call any phone number shown in the warning.
  • Do not give remote access to anyone who contacts you this way.
  • Close the browser window, or force-quit it, rather than clicking anything on the page.

If you are not sure whether a warning is real, or you already gave someone access, contact us directly rather than the number on the screen.

Pop-Ups and Suspicious Ads

Security

Unexpected pop-ups, especially ones claiming your computer is infected or has won a prize, are usually caused by adware or a browser extension, not an actual virus warning from your computer.

  • Do not click anything in the pop-up, including an “X” that looks off. Close the browser entirely instead.
  • Check your browser extensions and remove anything you do not recognize.
  • Run a malware scan.

If the pop-ups keep coming back after a scan, or you already clicked something you regret, get it checked out.

Strange Noises: Fan, Clicking, or Whirring

Hardware

A loud fan usually means the computer is working hard or overheating. Clicking from inside a desktop or laptop, especially one with a traditional hard drive, can be an early warning sign of drive failure.

  • Make sure vents are not blocked and the computer has room to breathe.
  • Close unnecessary programs to see if the fan noise settles down.
  • If you hear clicking, back up your important files as soon as possible.

Clicking noises are the one thing on this page we would say do not wait on. Back up first, then call.

Wi-Fi Keeps Dropping or Won't Connect

Network and Wi-Fi

Usually the router, the connection from your provider, or interference from distance and walls. Less often, it is the device itself.

  • Restart the router: unplug it, wait 30 seconds, plug it back in.
  • Check if other devices have the same problem. If only one device is affected, the issue is likely with that device.
  • Move closer to the router to rule out distance or interference.

If restarting the router does not help, or it is happening across every device in the house, the network setup itself may need attention.

Computer Won't Turn On

Hardware

This can mean anything from a power issue to a hardware failure. The first job is figuring out which it is before assuming the worst.

  • Check the power cable and outlet. Try a different outlet if you can.
  • On a laptop, plug it in and let it charge for 15 minutes before trying again, the battery may be fully drained.
  • Look and listen for any lights, fan noise, or beeps when you press the power button, that tells us where to start.

If there is no response at all, no lights, no sound, no fan, bring it in rather than keep trying. Repeated attempts can sometimes make a hardware issue worse.

Screen Is Frozen or Not Responding

Software

A program, or the whole system, has stopped responding to clicks and keystrokes, usually because something is stuck processing or has run out of memory.

  • Wait 30 to 60 seconds. Some freezes clear on their own.
  • Try Ctrl+Alt+Delete (Windows) or Cmd+Option+Esc (Mac) to close the stuck program.
  • If nothing responds at all, hold the power button for 10 seconds to force a restart, then power back on.

If it is freezing often, not just once, something deeper is usually going on.

Computer Is Running Slow

Software

Slowdowns usually build up gradually: too many programs starting automatically, a nearly full hard drive, background updates, or in some cases malware running unseen.

  • Restart the computer, it clears out a lot of background clutter.
  • Check how much storage space is left. Less than about 10 to 15 percent free can slow everything down.
  • Open Task Manager (Windows) or Activity Monitor (Mac) to see what is using the most resources.
  • Run a malware scan if you have not recently.

If it is still slow after a restart and a bit of cleanup, or it got slow suddenly rather than gradually, that is worth a closer look.

Blue Screen of Death (BSOD)

Hardware

Windows hit an error it could not recover from and shut everything down to protect your data, showing a blue screen with a stop code. It can be caused by a hardware problem, a bad driver, or a serious software conflict.

  • Write down the stop code or error name shown on the screen, it helps identify the cause.
  • Restart the computer. A one-time BSOD after a forced shutdown or update is often harmless.
  • If it keeps happening, check Windows Update for pending updates and install them.
  • Unplug any recently added hardware, such as external drives or new RAM, and see if it stops.

If the blue screen repeats, or you cannot get past it to restart normally, it is worth having it looked at before you lose data.

Password Manager

Security

A program that creates and stores strong, unique passwords for every account, so you only need to remember one master password. It is one of the most effective ways to prevent break-ins.

Phishing

Security

A scam where someone pretends to be a trustworthy source, usually by email or text, to trick you into clicking a bad link or handing over personal information. Most breaches start here, not with sophisticated hacking.

Two-Factor Authentication (2FA)

Security

An extra login step beyond your password, usually a code sent to your phone or an authenticator app. It means a stolen password alone is not enough for someone to get into your account.

Firewall

Security

A layer of protection, built into most computers and routers, that blocks unwanted traffic from reaching your device. Think of it as a checkpoint that only lets trusted connections through.

IP Address

Network and Wi-Fi

A number that identifies a device on a network, similar to a mailing address. Your router assigns one to every device connected to it.

Wi-Fi vs. Ethernet

Network and Wi-Fi

Wi-Fi connects wirelessly; Ethernet uses a physical cable. Ethernet is usually faster and more reliable, which is why it is worth using for anything that needs a steady connection, like a desktop computer or a streaming device.

Bandwidth vs. Speed

Network and Wi-Fi

Bandwidth is how much data can move at once, similar to how many lanes a highway has. Speed is how fast it actually travels. Low bandwidth is one common reason a connection feels slow when several devices are online at once.

Router vs. Modem

Network and Wi-Fi

A modem connects your home to your internet provider. A router takes that connection and spreads it to your devices, by Wi-Fi or cable. Many homes have one combined box that does both.

Peripheral

Hardware

Any piece of equipment connected to a computer but not built into it, like a mouse, keyboard, monitor, printer, or external drive.

Motherboard

Hardware

The main circuit board inside a computer that connects the processor, memory, storage, and everything else together. If it fails, the whole computer usually will not turn on.

Hard Drive vs. SSD

Hardware

Both store your files permanently, even when the power is off. A hard drive (HDD) uses spinning disks and is slower. An SSD (solid state drive) has no moving parts and is significantly faster, which is why most new computers use them.

CPU (Processor)

Hardware

The chip that does the actual thinking. It carries out instructions from your programs. A faster or newer CPU generally means your computer handles demanding tasks more smoothly.

RAM (Memory)

Hardware

Short for random access memory. It is where your computer temporarily holds what it is actively working on. More RAM generally means you can have more programs open at once without things slowing down.

Backup

Software

A second copy of your files kept somewhere safe, like an external drive or cloud storage, so you do not lose everything if your computer fails or gets infected.

Malware

Software

A general term for harmful software, including viruses, spyware, and ransomware. It gets onto a device through infected downloads, email attachments, or unsafe websites, and can steal information or damage files.

Software Update (Patch)

Software

A file a company releases to fix bugs, close security holes, or add features to a program you already have. Keeping updates current is one of the simplest ways to avoid problems.

Cache and Cookies

Software

Small pieces of information your browser saves so websites load faster and remember you, like staying logged in. Clearing them can fix a page that is acting strange, but it will log you out of most sites.

Web Browser

Software

The program you use to visit websites, such as Chrome, Edge, Safari, or Firefox. It is different from your operating system: the browser is one app running on top of it.

Operating System

Software

The main software that runs your computer and lets everything else work. Windows, macOS, and Chrome OS are all operating systems. It is the foundation everything else sits on, including your web browser and your apps.
